What are smart properties

Smart properties in HubSpot are calculated or enriched fields that update automatically based on other data in the CRM. They reduce manual entry, improve data consistency and give teams a single source of truth for key metrics.

When to use them

Use smart properties when a value can be derived from existing data: lead scores, lifecycle stage labels, region assignments based on country, or revenue band calculations from deal totals. If a human has to decide the value, it is not a smart property.

Smart properties run on HubSpot workflows. Make sure your portal has workflow access before setting them up.

Setting them up

Start with the property definition. Choose a clear, namespaced name (for example calc_lead_score) and set the field type to match your output: number, single-line text or dropdown.

PropertyTypeSource
calc_lead_scoreNumberWorkflow
calc_regionDropdownWorkflow
calc_revenue_bandDropdownWorkflow

Common patterns

The most useful smart properties fall into three categories: classification (assigning a segment based on attributes), aggregation (summing or counting related records) and enrichment (pulling data from external sources via integrations).

Pitfalls to avoid

The biggest risk is circular dependencies: property A updates property B, which triggers a workflow that updates property A. Always map your dependencies before building and test in a sandbox portal.

Use HubSpot's workflow action log to debug smart property updates. It shows exactly which workflow set each value and when.
